    Institution / Client: University of Research and Innovation of Mexico (UIIX) Role: Operational Solutions Architect and Principal Doctoral Advisor 

    Technologies Used: Google Apps Script, Google Drive API (V3 Advanced), Google Workspace, Business Conditional Logic.


    1. The Institutional Challenge (The Problem)

    Excellence in the methodological tracking of doctoral research requires an impeccable and highly structured virtual environment. However, the manual process of registering and managing files on the university platform represented a critical bottleneck and a latent risk to data integrity.

    For a volume of 200 doctoral candidates assigned per advisor, the process of creating root folders, structuring the methodological phases (Stages 1 to 4), subdividing iterations according to the acquired plan (Plus or Premium), configuring individual security permissions, and notifying each student consumed approximately 160 hours of operational work.

    For an advisor working part-time, this translated to 2 full months of administrative effort, diverting invaluable time from core academic work. Additionally, the standard assignment of permissions created vulnerabilities, allowing for accidental modification or deletion of official documents by users.

    2. The Strategic Solution

    I designed and developed a Comprehensive "Turnkey" Management System. This technological solution transforms an administrative burden of weeks into an automated execution that takes just seconds, returning total and standardized control to the Technology Department (IT) and freeing academic advisors to focus 100% on research mentoring.

    3. Technical Architecture of the System

    The system operates by integrating master databases with the Google Workspace environment, executing three simultaneous high-complexity processes:

    • Intelligent Branching by Modality: The algorithm reads the matrix list and automatically determines the student's plan. If it detects the modality PLUS, it deploys a subfolder of "Single Review" within each of the 4 methodological stages. If it detects the modality PREMIUM, it automatically structures a more robust ecosystem with subfolders of "Review 1", "Review 2", and "Review 3" for each stage.

    • Zero-Trust Security Protocol: Using the Advanced Google Drive API (V3), the system assigns restrictive privileges from the moment of creation. The doctoral student "is born" in the system with an exclusive role of Commentator, eliminating any risk of deletion, undue alteration, or loss of research progress at its root.

    • Automated Communication: Once the deployment of the folder architecture and permissions is completed, the script sends an official and instant notification to each researcher, detailing the operational instructions according to their study modality.

    4. Impact and Achieved Results

    • Exponential Efficiency: Reduction of the setup time for files from 160 hours to seconds, saving 2 full months of administrative workload (Man-Hours) for each block of 200 doctoral candidates.

    • Institutional Standardization: Total elimination of human errors (visual fatigue, omission of folders, failures in permission typology) in the operational structuring of the platform.

    • Directive Approval and Escalation: After rigorous pilot tests, the model was validated technically and operationally by the Academic Senior Management and the Technology Department of UIIX, agreeing on its official implementation in the deployment of the new institutional doctoral cohorts.
